Draft — not yet in force

This document is an unreviewed draft. It was prepared as a starting point and has not been reviewed by legal counsel. Bracketed fields marked in amber must be completed, and the whole document reviewed against the laws of every jurisdiction in which CannaTrack operates, before it is relied upon.

This policy explains what information CannaTrack Solutions collects through this website, why it is collected, and how it is handled. It covers the public website only. Use of the CannaTrack platform under a commercial agreement is governed by that agreement and any data processing terms attached to it.

1. Who we are

This website is operated by [LEGAL ENTITY NAME], trading as CannaTrack Solutions, a product of SmartLedger.Technology, with a registered address at [REGISTERED ADDRESS]. For any question about this policy, contact support@cannatrack.solutions.

2. Information collected through this site

Information you provide

When you submit the enquiry form, we collect the fields you complete: your name, email address, organization, operation type, and — where you choose to provide them — your jurisdiction, approximate monthly COA volume, and the content of your message. These fields are used to respond to your enquiry.

Information collected automatically

Our web server records standard request logs, which include your IP address, the time of the request, and the pages requested. Your IP address is also included in enquiry notifications so that we can identify abuse of the form. We apply rate limiting to the enquiry endpoint, which requires temporarily retaining your IP address in memory.

What we do not collect

This site sets no cookies, runs no analytics or advertising scripts, and loads no third-party resources. There is no tracking of visitors across sites. The verification portal on the home page operates entirely within your browser against fictional demonstration data; nothing you type into it is transmitted to us.

3. How enquiry information is used

Information from the enquiry form is used only to:

We do not sell your information, and we do not use it for advertising. We will not add you to a marketing mailing list on the basis of an enquiry alone.

4. Who receives it

Enquiries are delivered by email to CannaTrack staff at the addresses configured for that purpose. Email is transmitted and stored through our email provider, [EMAIL PROVIDER — e.g. Namecheap Private Email], and our hosting provider, [HOSTING PROVIDER], processes the request in the course of operating the site. We do not otherwise disclose enquiry information to third parties, except where required by law.

5. Retention

Enquiry emails are retained for [RETENTION PERIOD]. Server request logs are retained for [LOG RETENTION PERIOD]. You may ask us to delete correspondence with you at any time.

6. Your rights

Depending on where you live, you may have the right to access, correct, delete, or obtain a copy of the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, write to support@cannatrack.solutions. We will respond within [STATUTORY RESPONSE PERIOD].

[Jurisdiction-specific sections — such as GDPR lawful basis and transfer mechanisms, or CCPA/CPRA notices — must be added here as applicable.]

7. Security

This site is served over HTTPS. Enquiry submissions are transmitted to our server over an encrypted connection and relayed over authenticated SMTP. No system is perfectly secure, and we cannot guarantee the security of information transmitted over the internet.

8. Changes

We may update this policy. The date at the top of this page reflects the current version. Material changes affecting how enquiry information is handled will be noted on this page.
